The contract file

The documents that record the bargain.

  • SPA and every addendum, variation or revised payment plan
  • Reservation and booking forms
  • Oqood or interim registration documents
  • Payment schedule and every receipt or transfer confirmation

What you were sold

This category is the one most often lost, and the one that establishes what was represented.

  • Brochures, renders and price lists
  • Floor plans and finishes schedules
  • Sales presentations and emails from the agent
  • WhatsApp threads with the agent or developer, exported rather than screenshotted where possible

What has happened since

The live file.

  • Every notice: handover, delay, extension, default, cancellation
  • All developer correspondence, in date order
  • Dated site photographs and video
  • Snagging and independent inspection reports
  • Any settlement offer received, and your response

How to keep it

Keep originals where you have them. Export message threads rather than relying on the app. Save email with headers intact rather than as forwarded text. Record dates against photographs. Keep one folder, organised chronologically, and add to it as things arrive. Do not delete anything because it seems unhelpful.
